Integrate AssetTrack with ServiceNow

Integrate AssetTrack with ServiceNow to receive, track, audit and dispose your hardware assets

As a system administrator, I want to configure AssetTrack, to save data to the ServiceNow platform

A few notes:

  1. To try AssetTrack for ServiceNow follow the steps on this page
  2. To buy AssetTrack for ServiceNow, contact sales@amitracks.com for a quote
  3. AssetTrack integrates with ServiceNow using the ServiceNow JSON Web Service
  4. Data flows to ServiceNow through a certified integration, to be installed on your ServiceNow Eureka or Fuji instance
  5. AssetTrack integrates out-of-box with ServiceNow version Eureka or later

Request

To obtain a trial instance of AssetTrack for ServiceNow:

  1. Access AssetTrack for ServiceNow in the ServiceNow store
  2. Select the Try button
  3. Log in with your HI portal credentials, as prompted
  4. Complete this request process, following the prompts
  5. Find an email with download and installation instructions (or follow the steps below)

You now have a trial version to use for 30 days.


 Install

Install the AssetTrack for ServiceNow application:

  1. Access your ServiceNow instance at <instance>.service-now.com
  2. Enter applications in the search bar
  3. View your search results
  4. Click Applications under System Applications
  5. Click Downloads to enable the Install button
  6. Find and install AssetTrack
  7. Set Run As User for Scheduled Jobs to Administrator

⚠ Search for Scheduled Jobs and select it from the list. Find the "AMI compliance job" and "AMI task data clean up job" and make sure the Run As User is set to "Administrator"


 Configure ServiceNow

Configure your ServiceNow instance:

Configure Access

Ensure access to the User table for web services:

  1. Access your ServiceNow instance at <instance>.service-now.com
  2. Enter tables in the search bar
  3. View the search results
  4. Click Tables under System Definitions
  5. Search for then select sys-user
  6. Click Application Access tab
  7. Enable Can create and Can update

Create Service User

AssetTrack requires a ServiceNow user account to access data in your ServiceNow instance:

  1. Enter Users in the search bar
  2. Click the option to add a new user
  3. View the new user screen
  4. Enter a username and password for the AssetTrack service user account
  5. Ensure the Web Service access only is enabled
  6. Save the new user account 

Edit Role

Edit the role for the new user:

  1. Select command to edit the Roles for the new user
  2. Add the role x_amiam_assettrack_importer to the new user
  3. Save the change

 Configure AssetTrack

Configure AssetTrack to connect with ServiceNow:

Customize Configuration files

Customize configuration files for AssetTrack to communicate with ServiceNow:

  1. Download preprocessor config file
  2. Edit BaseUrl to point to your ServiceNow instance
  3. Download Fuji Default Mapping File or Eureka Default Mapping File
  4. Make edits if/as needed to map AssetTrack to ServiceNow fields
    Do this only if you have NOT made modifications to the ServiceNow schema you wish to preserve

Setup AssetTrack Server

Setup the AssetTrack server to communication with ServiceNow:

  1. Open AssetTrack Server
  2. Select Settings then Integration settings 
  3. Set Repository integrationTabular files
  4. Select ServiceNow tab
  5. Set ServiceNow endpoint = <your ServiceNow instance>.service-now.com
  6. Upload your configured preprocess config file
  7. Upload your configured mapping file

Configure Forms

Associate handlers to forms (see more about attaching handlers)

  1. Open the Forms Designer from the Management Console application
  2. Select a form
  3. Add the ServiceNow App Task Handler to the form
  4. Select the handler in the Registered Handlers window
  5. View the Handler Settings box
  6. Select the mapping file you uploaded to AssetTrack server
